Document Controller
Job Description:
We are seeking an experienced and detail-oriented Bilingual Document Control Specialist to support complex, multi-discipline projects in a fast-paced environment. The ideal candidate will have strong experience managing engineering and project documentation, advanced EDMS knowledge, and the ability to work independently while collaborating with cross-functional teams.
This role requires excellent organizational skills, strong follow-up discipline, and fluency in both English and Spanish.
Key Responsibilities
Document Control & Project Support
- Maintain organized, accurate, and up-to-date project documentation
- Upload and manage documents within the EDMS
- Perform metadata entry, revision control, and quality checks
- Process transmittals, correspondence, and document distribution
- Track document status and follow up with internal and external stakeholders
- Maintain project folders, workflows, and approval cycles
- Coordinate document reviews between engineering teams, clients, and vendors
- Manage project MDL/MDR and ensure alignment with engineering deliverables
- Prepare project status reports and support audits and quality reviews
Leadership & Coordination
- Serve as the primary point of contact for project documentation
- Lead document control activities for complex projects
- Ensure compliance with contract requirements and project procedures
- Identify workflow improvements and optimize document processes
- Provide guidance and mentorship to junior Document Control staff
Qualifications
Required Experience & Skills
- 4-6 years of document control experience, including complex projects
- Strong attention to detail and ability to follow procedures
- Excellent written and verbal communication skills
- Strong organizational and analytical skills
- Ability to work independently and manage multiple priorities
- Experience interpreting contract documentation requirements
- Strong communication and follow-up discipline
- Advanced EDMS knowledge required
- Content Server experience highly preferred
- High proficiency in Microsoft Excel and Adobe Acrobat Pro
- Ability to perform effectively in a fast-paced environment with tight deadlines
- Must be fluent in Spanish and English (bilingual)
Education
- Minimum: High School Diploma plus at least 3 years of Document Control management experience
- Preferred: Bachelor's Degree in Engineering, Business Administration, Information Management, Quality Assurance, Human Resources, or a related field
Work Environment
- Hybrid schedule:
- In-office Tuesday, Thursday, and 2nd & 4th Fridays of the month
- Schedule may change based on business needs
