Job Description:

We are seeking an experienced and detail-oriented Bilingual Document Control Specialist to support complex, multi-discipline projects in a fast-paced environment. The ideal candidate will have strong experience managing engineering and project documentation, advanced EDMS knowledge, and the ability to work independently while collaborating with cross-functional teams.

This role requires excellent organizational skills, strong follow-up discipline, and fluency in both English and Spanish.

Key Responsibilities

Document Control & Project Support

  • Maintain organized, accurate, and up-to-date project documentation
  • Upload and manage documents within the EDMS
  • Perform metadata entry, revision control, and quality checks
  • Process transmittals, correspondence, and document distribution
  • Track document status and follow up with internal and external stakeholders
  • Maintain project folders, workflows, and approval cycles
  • Coordinate document reviews between engineering teams, clients, and vendors
  • Manage project MDL/MDR and ensure alignment with engineering deliverables
  • Prepare project status reports and support audits and quality reviews

Leadership & Coordination

  • Serve as the primary point of contact for project documentation
  • Lead document control activities for complex projects
  • Ensure compliance with contract requirements and project procedures
  • Identify workflow improvements and optimize document processes
  • Provide guidance and mentorship to junior Document Control staff

Qualifications

Required Experience & Skills

  • 4-6 years of document control experience, including complex projects
  • Strong attention to detail and ability to follow procedures
  • Excellent written and verbal communication skills
  • Strong organizational and analytical skills
  • Ability to work independently and manage multiple priorities
  • Experience interpreting contract documentation requirements
  • Strong communication and follow-up discipline
  • Advanced EDMS knowledge required
  • Content Server experience highly preferred
  • High proficiency in Microsoft Excel and Adobe Acrobat Pro
  • Ability to perform effectively in a fast-paced environment with tight deadlines
  • Must be fluent in Spanish and English (bilingual)

Education

  • Minimum: High School Diploma plus at least 3 years of Document Control management experience
  • Preferred: Bachelor's Degree in Engineering, Business Administration, Information Management, Quality Assurance, Human Resources, or a related field

Work Environment

  • Hybrid schedule:
  • In-office Tuesday, Thursday, and 2nd & 4th Fridays of the month
  • Schedule may change based on business needs
