Job Description:
Executive Administrative Assistant (Executive Scheduler)
Two-Month Temporary Engagement - Full-Time, Onsite
Our client, a prominent higher education institution in the region, is seeking a highly organized and polished Executive Administrative Assistant to support the Office of the President. This individual will play a key role in managing the daily schedule and workflow of the President, ensuring efficient use of time and smooth coordination of all commitments.
This is a fast-paced, high-responsibility position that requires strong judgment, professionalism, and the ability to anticipate needs before they arise. The ideal candidate is detail-oriented, proactive, and comfortable interacting with senior leaders as well as a wide range of internal and external stakeholders.
Key Responsibilities
- Manage a complex executive calendar, balancing demanding and shifting priorities.
- Coordinate meetings, events, appointments, speaking engagements, and travel logistics.
- Ensure the President is fully prepared for daily activities by gathering and organizing briefing materials and background information.
- Act as a primary liaison on behalf of the President with faculty, staff, students, community partners, and other external contacts.
- Monitor and track incoming communication; draft and send follow-up correspondence as needed.
- Maintain confidential records, contact lists, files, and document systems.
- Prepare expense forms, requisitions, reports, and other administrative documentation.
- Screen calls, visitors, and email, directing inquiries as appropriate.
- Assist with office operations and additional administrative tasks as needed to support the smooth functioning of the office.
Qualifications
- Minimum of six (6) years of experience supporting a senior executive, CEO, President, or comparable leader in a fast-paced, strategic environment.
- Bachelor's degree required.
- Demonstrated ability to manage multiple scheduling priorities and deadlines with accuracy.
- Strong written and verbal communication skills, including proofreading and document preparation.
- Ability to exercise sound judgment, tact, and discretion when handling sensitive or confidential matters.
- Highly organized with strong follow-through and the ability to anticipate needs.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting platforms (e.g., Zoom, Teams).
Work Schedule & Assignment Details
- This position is onsite (not remote).
- Monday-Friday, 8:00 AM - 5:00 PM.
- Approximately two-month temporary assignment.
- Immediate start following interviews.
$26.00 - $28.00 / hr
