Document Control Specialist - Level IV 

Description:

The Document Control Specialist will play a vital role in supporting the Midstream division by ensuring accurate and compliant documentation throughout the lifecycle of multiple projects. This individual will serve as a key point of contact for document control practices and SharePoint administration, providing training, technical guidance, and ongoing process improvement.

Responsibilities:

  • Maintain and audit project documentation and final turnover files for the Midstream division in compliance with Government and Company standards.
  • Organize and lead training sessions on Company documentation processes.
  • Coordinate with Project Management, the Information Management group, contractors, and internal teams to manage document control deliverables.
  • Use SAP to locate and review key project information.
  • Navigate LiveLink to retrieve and archive project files.
  • Maintain a well-organized, accurate file structure for the Midstream Projects Organization within SharePoint.
  • Perform SharePoint administrative tasks, including site setup (internal and external), access management, and ensuring content accuracy and accessibility.
  • Assist with the implementation of project closeout procedures and associated checklists.
  • Provide technical support as a SharePoint subject matter expert, resolving document-related issues.
  • Create, maintain, and continuously improve document management systems by developing procedures and optimizing workflows for the Midstream Projects group.
  • Manage multiple assignments efficiently with strong attention to detail, organization, and time management.

Top Must-Haves:

  1. Expert-level proficiency in SharePoint, specifically in administrative functions. This role requires spending approximately 85% of the time working within SharePoint.
  2. Intermediate proficiency in Microsoft Office applications, particularly Excel and Outlook.
  3. 6+ years of experience in a business environment related to records management (storage, filing, and retrieval).
  4. 4+ years of experience in the energy and/or construction industry.
  5. Excellent interpersonal, verbal, and written communication skillsthis role involves daily interaction with Project Managers, conducting training sessions, and managing communications across various platforms (email, Teams, etc.).
  6. Strong organizational skillsthe successful candidate must be able to manage hundreds of projects and support dozens of Project Managers, using proven methods to stay organized and track progress.
